Turn more HVAC calls into clear next actions, 24/7.

Your team can't answer every call at once. Kandaka gives HVAC companies a managed AI receptionist that can answer immediately, collect the information your team needs, follow your urgency and booking rules, and bring a person in when the situation requires one.

Built and managed in Calgary.

You already invested to make the phone ring.

When your techs are on jobs, the office is closed, or three calls land at once, the response is where HVAC opportunities stall. An unanswered no-heat caller may simply call the next company.

How an HVAC call flows

Kandaka follows your company's rules. It doesn't diagnose furnaces or air conditioners. It gathers the details your technicians ask for and routes the call the way you've decided.

  1. Call

The caller's reason: "no heat", "tune-up", "strange noise".

  2. Response

Answered right away, in your company's name, any hour you choose.

  3. Information

Name, phone, service address and an issue summary, using the questions you approve.

  4. Next action

Urgency rules applied, availability checked, then booking, escalation, transfer or follow-up.

Coverage for your team when they can't be everywhere at once.

HVAC owners ask us

Does Kandaka replace my dispatcher?

No. It covers the calls your dispatcher can't get to: after hours, overflow and simultaneous calls. Your dispatcher stays in charge of priorities, scheduling decisions and exceptions, and receives organized call details from Kandaka.

What happens with emergencies?

You define what counts as an emergency. When a call matches those rules, Kandaka follows the escalation you set, such as transferring to your on-call technician or texting them the details. For safety situations like a gas smell, it can give callers the safety instruction you approve. It doesn't assess equipment.

Can it work only after hours?

Yes. Many HVAC companies use Kandaka only in the evenings, on weekends and holidays, or when the office line isn't picked up within a few rings.

Can it transfer to my on-call technician?

Yes. It can transfer live to the number or rotation you choose. If nobody picks up, it follows the fallback you define, for example texting the details and telling the caller when to expect a callback.

Can we choose what counts as urgent?

Yes. For example: no heat when it's below a certain temperature, seniors or young children at home, or water leaking near the furnace. We set these rules with you and adjust them over time.

Can it book service windows?

Yes. It can book into a connected calendar using the windows you define, such as 8–10 AM. If you'd rather your dispatcher confirms every job, it can capture the request instead.

Can we keep our existing phone number?

Yes. Homeowners keep calling the same number. We set up call forwarding so calls reach Kandaka when you want them to.

What happens if Kandaka doesn't know the answer?

Kandaka is configured not to invent answers. When a question falls outside its approved knowledge or workflow, it follows the fallback process your business defines, for example taking a message, transferring the call, or asking your team to follow up.

How long does setup take?

It depends on your integrations and how many rules you need. We agree a launch date with you in the written proposal, and test with your team before going live.

Can we change rules during heating and cooling seasons?

Yes. Adjusting rules is part of the managed service. Tell us when priorities change, such as no-heat calls in winter, AC tune-up promotions in spring, or holiday hours, and we update the system.
